No-shows don't just cost an empty hour — priced at their conversion odds and client value, a 20% no-show rate can quietly drain six figures a year.

[ 01 ]HOW IT'S CALCULATEDMETHOD

The math, in plain terms.

A no-show isn't just an empty slot — it's a consult that would have converted to a paying client at your normal rate. This calculator values every missed consult at its expected revenue: the odds it converts times the revenue a converted client brings in. Multiply that by how many consults vanish each year and you get the real dollar cost of no-shows, which is almost always bigger than owners expect.

Worked example: you book 25 consults a week, 20% no-show, 45% of the ones who show convert, and a converted client is worth $1,500 in year one. That's 1,300 consults a year and 260 no-shows. Each no-show carries an expected value of 45% × $1,500 = $675, so you're losing about $175,500 a year — roughly $3,375 every week. If faster reminders and same-day follow-up recover even 40% of those, that's about $70,000 back on the table.

The recoverable-revenue input is the speed-to-lead lever. Automated confirmations, waitlist backfill, and an instant response when a lead books all cut no-show rates and rescue slots that would otherwise sit empty. Model a realistic recovery rate, compare it to what a reminder system or extra front-desk time would cost, and you have a clean ROI case for fixing the leak instead of tolerating it.

Questions, answered.

How do I find my no-show rate?

Divide booked consults that didn't arrive (and weren't rescheduled) by total booked consults over a recent period. If you don't track it yet, start at a conservative estimate and refine as you measure.

Why value a no-show at conversion times client value?

Because not every consult would have bought. Pricing a missed consult at the expected revenue of one that shows avoids overstating the loss while still capturing the real cost of the empty chair.

What's a realistic recoverable percentage?

It depends on your current process. Spas with no reminders or slow lead response can recover a large share; those already running tight confirmations recover less. Test a conservative and an optimistic figure and plan against the lower one.

Is this financial or business advice?

No. It's a planning estimate to help you size a problem, not financial, tax, or legal advice. Use your own numbers and judgment before investing in tools or staffing.
